City of Sandwich Finance Committee met Feb. 3.

Here are the minutes provided by the committee:

Alderwoman Johnson called the meeting to order at 6:30 PM

Roll call was taken:

Present: Alderwoman Rebecca Johnson, Alderwoman Karsta Erickson & Alderman Fred R. Kreinbrink

Also Present: Geoff Penman

Review of Semi-Monthly Bills ran on 01/29:

The Axon Enterprise Inc Invoice was for additional licenses needed for the evidence conversion.

Alderwoman Erickson pointed out that it appeared as if there were duplicate charges on the EE! invoices, but Administrator Penman pointed out that the PO's have all the projects EEI has worked on listed on the PO sheet. Only projects having charges paid in this period have dollar values tied to the respective account number/project. This saves staff time from needing to add/delete information in the PO form.

Sandwich Parcel appears to have a balance due, and it really isn't clear what took place here. It was suggested to have staff adjust the information to be clearer as to what took place, and to have Collector li look into the balance due issue.

C J Trenching invoice brought up the question as to why City personnel are not performing tasks that CJ Trenching currently is. Administrator Penman will investigate this more, but some of the tasks such as hauling stone/sand isn't something City staff currently performs because of the size of dump trucks we have.

Unfinished Business:

Discussion of Purchasing Policy –

The Committee felt that the changes in the first section were good. It was suggested that additional sections need to be modified/created relating to Material/Fixed Items and Labor/Professional Services to begin with.

Discussion of Budget Schedule –

The next budget committee meeting will be February 18th at 4:30pm in the Council Chambers.

New Business:

Approval of the meeting minutes from January 20, 2025, meeting. A motion was made by Alderwoman Erickson and seconded by Alderwoman Johnson - motion passed by voice vote with Alderman Kreinbrink abstaining due to not being present for the meeting. Passed

Authorization to pass bills onto the Council for approval:

A motion to forward the adjusted bills to Council for approval as presented - Motion made by Alderman Kreinbrink and seconded by Alderwoman Erickson - motion passed by voice vote. Passed

Adjournment:

There being no further business to come before the Committee, motion made by Alderwoman Erickson & seconded by Alderman Kreinbrink to adjourn at 6:58 PM. Motion carried unanimously by voice vote.
